How to improve microsoft word’s grammar checker

Microsoft Word comes with a powerful grammar checker, but many of its advanced grammar detection features are disabled by default. Grammarly is popular, but you don’t need it to add grammar checking to Word. Word itself contains a free alternative to Grammarly.

The grammar checker is part of all modern versions of Microsoft Word, including Word for Office 365, Word 2019, and Word 2016. It’s getting better, too: Microsoft just announced a more powerful AI-based grammar checker will come to Office Insiders in June and will be available to everyone in fall 2019.

How to Boost Word’s Grammar Checker

To find Word’s grammar checking settings, click “File” at the top left corner of a Microsoft Word window.

Next, click “Options” at the bottom of the left-hand pane.

The “Word Options” window will appear. Click “Proofing” in the left pane.

Scroll down to the “When correcting spelling and grammar in Word” section and then click “Settings.”

The “Grammar Settings” window will appear. The grammar checker in Word is enabled by default, as are many of these options here. However, you’ll notice that a lot of options towards the bottom aren’t enabled. For example, you can turn on options to have Word check for things like passive voice, jargon, split infinitives, and even some more specific refinements.

For example, there’s a “Resume” section with rules specific to errors found in many resumes. We recommend doing a bit of research on how to write a proper resume, but you can enable these rules and Word will give you a helping hand.

Tick the checkbox next to any rules you want to enable and then click “OK” when you’re done.

If you ever want to undo your changes and reset Word’s grammar checker back to its default settings, return here and click “Reset All.”

Click “OK” once more to close Word’s options window.

The selected rules are now applied to Word’s grammar checker. When Word detects a grammar error, you’ll see a blue squiggle. You can right-click it to see suggestions.

If you’re curious about what a rule does, Microsoft’s online help site provides a comprehensive list of rules and their functions. Specific rules are missing if you are using Word 2013 or earlier, but the list of available options is still pretty impressive.

Grammarly’s grammar checker is still more powerful than Microsoft Word’s, and it also works outside of Word anywhere on the web. But many people can get by with Word’s grammar checker—especially if they enable more of its built-in options.

When Word finishes checking the spelling and grammar and errors corrected, you can choose to display information about the reading level of the document, including readability scores according to the Flesch-Kincaid Grade Level test and Flesch Reading Ease test.

Go to File > Options.

Under When correcting spelling and grammar in Word, make sure the Check grammar with spelling check box is selected.

Select Show readability statistics.

After you enable this feature, open a file that you want to check, and check the spelling by pressing F7 or going to Review > Spelling & Grammar. When Word finishes checking the spelling and grammar, it displays information about the reading level of the document.

Important: You must correct or Ignore all errors found in the document before the readability statistics will display.

On the Word menu, click Preferences.

You must have a document open to see preferences.

Under Authoring and Proofing Tools, click Spelling and Grammar.

Under Grammar, select the Check grammar with spelling check box.

Select the Show readability statistics check box, and close the Spelling & Grammar dialog box.

On the Tools menu, point to Spelling and Grammar and click Spelling & Grammar.

After Word finishes checking spelling and grammar, it displays information about the reading level of the document.

Note: You must correct or Ignore all errors found in the document before the readability statistics will display.

Understand readability scores

Each readability test bases its rating on the average number of syllables per word and words per sentence. The following sections explain how each test scores your file’s readability.

This test rates text on a 100-point scale. The higher the score, the easier it is to understand the document. For most standard files, you want the score to be between 60 and 70.

The formula for the Flesch Reading Ease score is:

206.835 – (1.015 x ASL) – (84.6 x ASW)

ASL = average sentence length (the number of words divided by the number of sentences)

ASW = average number of syllables per word (the number of syllables divided by the number of words)

This test rates text on a U.S. school grade level. For example, a score of 8.0 means that an eighth grader can understand the document. For most documents, aim for a score of approximately 7.0 to 8.0.

The formula for the Flesch-Kincaid Grade Level score is:

(.39 x ASL) + (11.8 x ASW) – 15.59

ASL = average sentence length (the number of words divided by the number of sentences)

ASW = average number of syllables per word (the number of syllables divided by the number of words)

The languages that you use in a document can affect how your Office program checks and presents readability scores.

If you set up Word to check the spelling and grammar of text in other languages, and a document contains text in multiple languages, Word displays readability statistics for text in the last language that was checked. For example, if a document contains three paragraphs — the first in English, the second in French, and the third in English — Word displays readability statistics for the English text only.

For some European languages within an English document, Word displays only information about counts and averages, not readability.

1. From the Proofing group on the Review tab, select Spelling & Grammar .
2. Microsoft Word will look for spelling and grammar errors starting from the location of your cursor in the document.
3. If Word finds a spelling error, a navigation pane similar to the one below will appear:
   
   You then have the following options:
   • Ignore . To leave the text as is in a specific instance, but be notified if Microsoft Word finds the same thing again, click Ignore .
   • Ignore All . To leave the text as is in this and future instances, click Ignore All .
   • Add . Adding a word to your dictionary will prevent Microsoft Word from ever noting this word as being misspelled again.
   • Change . To correct only this instance of the misspelling, click Change .
   • Change All . To correct all instances of the misspelling throughout the document, click Change All .
4. If Word finds a grammar error, a dialog box similar to the one below will appear:
   
   • Ignore . To leave the text as is in a specific instance, but be notified if Microsoft Word finds the same thing again, click Ignore .
   • Change . To accept Word’s suggested correction, click Change .
   • At the bottom of the pane, you will see an explanation of the grammar error that Word has detected.

A useful feature when checking spelling and grammar is Word’s AutoCorrect feature. When Word indicates a word in a document may be misspelled or incorrect, with a squiggle under it, you can right-click the word to see suggestions. If a suggestion is correct, simply select it to replace the word.

How to configure writing styles options in Word

To customize the grammar settings in Word 2019 and 2016, use these steps:

Open Microsoft Word.

Create a blank document.

Quick Tip: You can save the extra steps to create a blank document using this tip to skip the start screen in Office.

Click Options.

Under the “When correcting spelling and grammar in Word” section, next to “Writing Style,” click the Settings button.

Using the “Writing style” drop-down menu, select the Grammar & Refinements option. (We’re using this selection as an example. You can select the Grammar option if those are the only settings that you want to customize.)

Check the grammar options that you would like Microsoft Word to check while you’re working on a document, such as:

• Passive voice.
• Wordiness.
• Punctuation.
• Capitalization.
• Commonly confused phrases and words.
• Date formatting.
• Verb use.
• Adverb placement.
• Jargon.
• Contractions.
• Double negation.
• Cliches and many more.

Once you complete these steps, Word will use the configured writing rules to check the current and future documents for grammar mistakes, helping to improve your writing skills.

How to configure writing-style options in Outlook

The desktop version of Outlook also includes the same grammar settings, but the steps to configure them are a little different. To adjust grammar settings to improve your writing style in Outlook, use the steps:

1. Open Microsoft Outlook.
2. Click the Home tab.

Click the New Email button.

Important: You must open the settings from a new email session. Otherwise, the “Writing Style” options may be grayed out (not available) in the proofing settings.

Click Options.

Under the “Compose messages” section, click the Editor Options button on the left.

Under the “When correcting spelling in Outlook” section, next to “Writing Style,” click the Settings button.

Using the “Writing style” drop-down menu, select the Grammar & Refinements option.

After you complete these steps, when using the grammar checker, Outlook will use the selected rules to flag potential issues that you can modify to improve the language of the message.

1. Click File > Options.
2. Click Proofing from the menu on the left.
3. Use the options under “When correcting spelling and grammar in Word” to adjust grammar and style checks.

Applies to All Windows 10 Versions

Microsoft Office has long included support for spellcheck and grammar assistance. In recent years, Microsoft has expanded the toolset with new writing style options to help you develop your written voice.

Many of these features are disabled by default. They’re individually customisable so you can use some writing style components while ignoring others. The capabilities apply when authoring Word documents and Outlook emails.

To get started, launch Word or Outlook. You’ll need to be using Office 2019 or have an active Office 365 subscription. Click the “File” tab to get into the Backstage view. Click “Options” at the bottom of the left navigation menu.

In the Options popup window, click the Proofing page. We’re interested in the settings under the “When correcting spelling and grammar in Word” heading. The checkboxes allow you to toggle spellcheck, grammar and frequently confused words warnings.

The fifth checkbox, usually disabled, enables the optional “Readability Statistics” feature. Press F7 to open this popup, which provides information such as the average number of words per sentence and sentences per paragraph. There’s specialist statistics too, such as a Flesch Reading Ease score and the percentage of sentences which are passive. These metrics can be helpful when crafting writing for maximum readability.

Back in the Proofing options window, we’ll now turn our attention to the “Writing Style” dropdown menu. This controls which of Word’s writing style suggestions should be enabled. You can choose between “Grammar” and “Grammar & Refinements.” The latter enables extra default proofing checks for clarity and conciseness.

Either one of these presets can be customised by clicking the “Settings” button. Here, you’ll see a list of all the proofing options available within Office. Each one can be individually enabled or disabled.

There’s too many checks to cover each one in detail here. It’s best to start with the default selection. You can then review the list to enable extra checks which help you improve. Alternatively, you can disable default checks which you find annoying or inaccurate.
